Navigate to the Import page by clicking Clinical > Import.
Import page:
required fields
New import or Existing import - select 'New import' when importing a file and select 'Existing import' to check back on the errors received for a previous imported file (see 'Existing import' subheading below).
Team (team code) to upload records to - please select the team that you wish to upload the records in the file to. For many users they will only have one team, but some users will be registered with multiple teams, and it is vital that careful checks are made to ensure that the file is being imported to the correct team.
Select the file to import (file name starting with the team code) - please make sure the file you attempt to import is a .csv file. Also make sure the file name starts with the team code of the team you wish to import the file to. For example, when importing the file to "Fake Hospital" which has the team code 999, the file name should begin 999, e.g. "999import_file_name.csv". Users may wish to have naming conventions for files to be imported, e.g. including the name of the team, the name of the person importing, the date the file was created or last amended, etc.
What should be done with existing records - select 'Ignore' or 'Overwrite':
- Ignore - this will mean that any existing records are not changed
- Overwrite - this will work by using the import ID and matching the two records and will overwrite the whole record (N.B it will not update individual columns, so please only click overwrite when confident that the new file contains all of the original information as well as new information).
Test import? (no updates will be performed) - select 'Yes' or 'No':
- Yes - the import csv file records will be not imported to the webtool. This is used to test the import file and view any errors in the csv file before fully committing to the import
- No - the import csv file records will be added to the webtool
Existing import
Every time a file is imported all the errors are logged. The existing import page allows you to view all errors generated for a particular import.
